AI Knowledge Agent Not Responding
The Kowiki AI Knowledge Agent searches your synced content and provides answers to questions asked in the web wiki, Slack, or Teams. If the agent is not responding or producing useful results, this guide helps you diagnose and resolve the problem.
Agent not available
If you see a message that the AI Knowledge Agent is unavailable or the option does not appear in your workspace:
- Check your plan β The AI Knowledge Agent is available on Pro+ and Business plans. Free and Pro plans do not include AI features. See Plans Overview to compare plan features.
- Check if an admin has enabled it β Even on eligible plans, a workspace admin must enable the AI agent. Go to Settings β AI Knowledge Agent and verify the toggle is set to Enabled. For more details, see Enabling and Disabling the AI Agent.
- Verify your role β Some workspaces restrict AI access to certain roles. Ask your workspace admin if AI access has been limited.
Agent says it can't find relevant content
When the agent responds with "I couldn't find relevant content" or a similar message:
- Content may not be synced yet β If you recently connected a source, the content may still be processing. Check the sync status in Settings β Sources.
- Section permissions may exclude it β The agent only searches content the asking user has permission to view. If the answer lives in a restricted section, the agent cannot access it on behalf of users without that access.
- The content may not exist β Verify that the information you are looking for is actually present in one of your connected sources.
Answers seem outdated
If the agent provides information that was correct in the past but is no longer accurate:
- Check the source sync status β Go to Settings β Sources and confirm the source containing the updated content has synced recently.
- Trigger a manual sync β Click Sync Now on the relevant source to pull in the latest changes.
- Allow processing time β After a sync completes, the AI index updates within a few minutes. Answers should reflect new content shortly after.
Your sync frequency depends on your plan. Pro+ syncs hourly and Business plans support real-time sync.
Agent gives vague or unhelpful answers
The quality of AI answers depends on the quality of your source content. To improve responses:
- Ask specific questions β Instead of "How does onboarding work?", try "What are the steps to onboard a new sales team member in Q1?"
- Improve your content β Well-structured documents with clear headings, concise paragraphs, and explicit answers produce better AI results. See Tips for Better Answers for guidance on optimizing your content.
- Check for duplicate or conflicting content β If multiple documents cover the same topic with different information, the agent may produce a blended or vague response.
Agent not responding in Slack or Teams
If the agent works in the web wiki but does not respond in Slack or Teams:
- Verify the app connection β Go to Settings β Apps and confirm your Slack or Teams workspace shows as connected.
- Try a direct message β Send a DM to the Kowiki bot instead of mentioning it in a channel. This rules out channel-level permission issues.
- Check that the bot is in the channel β The Kowiki bot must be added to any channel where you want it to respond. See Slack Integration or Microsoft Teams Integration for setup instructions.
- Reinstall the app β If the bot is connected but still unresponsive, try removing and reinstalling the integration.
