Enabling and Disabling the AI Knowledge Agent
Overview
Workspace admins control whether the AI Knowledge Agent is active for their organization. The agent can be enabled or disabled at any time from your workspace settings. This applies across all platforms β Slack, Microsoft Teams, and the web wiki.
Requirements
Before enabling the AI Knowledge Agent, confirm:
- Your workspace is on a Pro+ or Business plan. The agent is not available on Free or Starter plans. See Plans Overview for details.
- You have Admin or Owner role in the workspace.
How to enable the AI Knowledge Agent
- Log in to your Kowiki workspace as an admin.
- Navigate to Settings from the left sidebar or workspace menu.
- Select AI Knowledge Agent from the settings menu.
- Toggle the Enable AI Knowledge Agent switch to the on position.
- Click Save to confirm the change.
Once enabled, the agent becomes active within a few minutes:
- The chat widget appears on your web wiki for logged-in users.
- The Kowiki bot in Slack begins responding to questions (if the Slack app is installed).
- The Kowiki bot in Teams begins responding to questions (if the Teams app is installed).
No additional configuration is required for individual users. The agent is available to all workspace members based on their existing permissions.
How to disable the AI Knowledge Agent
- Navigate to Settings β AI Knowledge Agent.
- Toggle the Enable AI Knowledge Agent switch to the off position.
- Click Save to confirm.
Disabling takes effect within a few minutes.
What happens when the agent is disabled
When you disable the AI Knowledge Agent:
- Web wiki β The chat widget and AI Assistant page are hidden from all users. Direct URLs to the chat page redirect to the wiki home.
- Slack β The Kowiki bot responds to questions with a message indicating the AI agent is currently disabled for this workspace. Standard Kowiki notifications and other bot features continue to function.
- Microsoft Teams β The Kowiki bot responds with a similar notice that the feature is disabled. Other Teams app functionality remains unaffected.
- Conversation history β Previous conversations are preserved. If you re-enable the agent later, users can access their prior conversation history.
- Indexed content β Your knowledge base remains indexed. Re-enabling the agent does not require a full re-sync.
Partial controls
The AI Knowledge Agent is a workspace-wide setting. You cannot enable it for specific users or teams while disabling it for others. However, because the agent respects section-level permissions, you can control what content is available to which users through your existing permission structure.
For example, if you want the agent to only serve answers from your public documentation section, ensure other sections have restricted permissions. The agent surfaces content based on each user's individual access level.

Platform app requirements
Enabling the AI agent does not install the Slack or Teams apps. Those integrations must be set up separately:
If a platform app is not installed, the agent functions on the web wiki and any other installed platforms but is not available on the uninstalled platform.
Re-enabling after a plan downgrade
If your workspace downgrades to a plan that does not include the AI Knowledge Agent, the agent is automatically disabled. Upgrading back to a Pro+ or Business plan restores access, but an admin must manually re-enable the agent in settings.
