Upgrading and Downgrading

Changing Your Plan

You can upgrade or downgrade your Kowiki plan at any time from your workspace settings. The process takes less than a minute, and your content is never affected by plan changes.

How to Upgrade

1. Open your workspace and navigate to Settings → Billing.
2. Click Change Plan.
3. Select the plan you want to upgrade to.
4. Confirm your selection and complete payment if prompted.

If you don't see the Billing option, you may not have the required permissions. See Workspace Settings for access details.

What Happens When You Upgrade

• Immediate access: New features become available the moment you confirm the upgrade. There is no waiting period.
• Prorated billing: You only pay the difference between your current plan and the new plan for the remainder of your billing cycle. Your next invoice reflects the full new plan price.
• Increased limits: Additional source connections, editor seats, viewer seats, and faster sync frequencies activate immediately.
• New capabilities: Features like the AI Knowledge Agent, custom domains, and enhanced SEO become available as soon as the upgrade processes.

How to Downgrade

1. Open your workspace and navigate to Settings → Billing.
2. Click Change Plan.
3. Select the plan you want to downgrade to.
4. Review the impact summary showing which features and limits will change.
5. Confirm your selection.

What Happens When You Downgrade

• End of billing cycle: The downgrade takes effect at the end of your current billing period. You retain full access to your current plan's features until then.
• Data is preserved: Kowiki never deletes your content when you downgrade. All your sources, pages, and configurations remain intact.
• Features become inaccessible: Features not included in your new plan (such as the AI Knowledge Agent or custom domain) become unavailable once the downgrade activates.
• Excess connections become read-only: If you have more source connections than your new plan allows, the extra connections stop syncing and become read-only. You can still view the content but cannot edit or re-sync those sources until you reconnect within your new plan's limits.
• Excess members become read-only: If your team exceeds the new plan's editor or viewer limits, excess members lose edit access and become read-only. No one is removed from the workspace. See Roles Explained for details on how seat limits work.

Understanding Prorating

Kowiki uses prorated billing so you always pay a fair price when changing plans mid-cycle.

On Upgrade

Your account is charged the prorated difference between your old and new plan for the remaining days in your billing cycle. For example, if you upgrade from Pro to Pro+ halfway through your monthly cycle, you pay half the price difference for that month.

On Downgrade

You are not charged again. Your current plan remains active through the end of the paid period, and the lower rate applies starting with your next billing cycle.

Switching Billing Frequency

If you switch from monthly to annual billing during an upgrade, the prorated credit from your current monthly plan is applied toward the annual price. See Managing Your Subscription for instructions on switching billing frequency.

Tips

• Review the Plans Overview to compare features before changing plans.
• If you're unsure whether to upgrade, start with the 14-day Pro+ trial available on new workspaces.
• Downgrades do not remove team members. Coordinate with your team before downgrading to avoid unexpected read-only access.
