Every Kowiki account starts with a workspace β the container for your team's knowledge base, sources, and members. Here's how to set one up.
You need two things to create your workspace:
Workspace name β The display name for your organization. This appears in navigation, emails, and the web wiki header. Use your company name, team name, or department (e.g., "Acme Corp" or "Engineering Team"). You can change this later in settings.
Workspace slug β The URL-friendly identifier for your wiki. This determines your web wiki address:
https://your-slug.kowiki.co
Slug requirements:
Choose your slug carefully β changing it later updates your wiki URL, which breaks any existing bookmarks or shared links.
Click Create Workspace to finalize. Your workspace is now active and you are the Owner.
After creation, you arrive at the workspace dashboard. From here you can:
A knowledge base works best when the whole team has access. Invite members early so they can start finding information as you build out the wiki.
Invited members receive an email with a link to join your workspace. The invitation expires after 7 days β you can resend it from the team settings page.
Assign roles based on what each person needs to do:
| When someone needs to⦠| Assign them |
|---|---|
| Manage billing, workspace settings, and all content | Owner (only one) |
| Set up sources, apps, and manage the team | Admin |
| Create and organize wiki content | Editor |
| Read the wiki and use the AI agent | Viewer |
Start with a small group of Admins and Editors who will manage your content. Invite Viewers once your wiki has enough content to be useful.
Remember: team members who access the wiki through Slack or Microsoft Teams are synced users and do not consume seat allocations. Invite roles are for people who need direct access to the Kowiki dashboard or web wiki with sign-in.
From Settings β Team, you can:
After setup, review these optional settings in Settings β General:
With your workspace created and team invited, you're ready to:
