Quick Start Guide
From Zero to Working Wiki
This guide walks you through setting up Kowiki and sharing your first knowledge base with your team. The entire process takes less than 10 minutes.
Step 1: Create Your Workspace
- Go to kowiki.co and click Get Started
- Sign up with your email or Google account
- Enter your workspace name (your company or team name)
- Choose a workspace slug β this determines your wiki URL:
your-slug.kowiki.co - Click Create Workspace
Your workspace is now live. You land on the dashboard where you manage sources, sections, and team members.
Step 2: Connect Your First Source
Bring in documents from where they already live.
- Navigate to Sources in the left sidebar
- Click Add Source
- Choose a platform β Google Drive, SharePoint, OneDrive, Dropbox, or GitHub
- Authenticate with your account on that platform
- Select the folders or repositories you want to sync
- Click Connect
Kowiki begins syncing your documents immediately. Depending on the number of files, the initial sync takes anywhere from a few seconds to several minutes.
For detailed setup instructions for each platform, see Connecting Sources.
Step 3: Organize Into Sections
Sections give your wiki structure. Think of them as chapters or categories.
- Go to Sections in the left sidebar
- Click Create Section
- Name your section (e.g., "Engineering," "Company Policies," "Product")
- Drag synced pages into the section, or use Add Pages to select documents from your connected sources
- Repeat to create additional sections as needed
You can nest sections, reorder pages, and set permissions on each section to control visibility.
Step 4: Share Your Wiki
Choose how your team accesses the knowledge base.
Option A: Share the Web Wiki
Your hosted wiki is already live at your-slug.kowiki.co. Share this URL with your team β anyone you invite can browse sections and search across all content.
Option B: Install a Platform App
Deliver your wiki directly into Slack or Microsoft Teams.
- Go to Apps in the left sidebar
- Click Install App
- Choose Slack or Microsoft Teams
- Follow the OAuth prompts to authorize Kowiki in your workspace or tenant
- Select which channels or teams get access
Team members using Slack or Teams count as synced users and are always unlimited, regardless of your plan. Learn more about Apps.
Step 5: Invite Your Team
Bring in the people who will manage and consume your wiki.
- Go to Settings β Team
- Click Invite Members
- Enter email addresses
- Assign a role to each person:
- Admin β Full workspace management
- Editor β Manage content and sections
- Viewer β Browse and search the wiki
- Click Send Invites
Invited members receive an email with a link to join your workspace. For more on roles, see Roles Explained.
What's Next
Your wiki is live and your team has access. Here are common next steps:
- Connect additional sources to expand your knowledge base
- Refine section permissions to control who sees what
- Try the AI Knowledge Agent β ask it a question in Slack or the web wiki and see cited answers from your documents
- Adjust sync frequency in your plan settings to keep content fresh
You now have a working knowledge base that stays in sync with your existing documents and meets your team where they work.
