Microsoft Teams App

Overview

The Kowiki Microsoft Teams app integrates your wiki directly into the Teams experience. Pin wiki sections as tabs in your channels, share pages as rich message cards, and ask the AI Knowledge Agent questions through Teams chat.

Everyone who accesses Kowiki through Microsoft Teams counts as a synced user — unlimited seats with no cap on your billing plan.

Requirements

Before installing the Teams app, confirm the following:

• A Microsoft Teams organization
• Admin permission to install or sideload apps in your Teams environment (or the ability to request approval from your Teams admin)
• A Kowiki workspace with at least one published page

Installation

1. Open your Kowiki workspace settings and navigate to Apps.
2. Find the Microsoft Teams card and click Install.
3. You are redirected to Microsoft Teams to authorize the app. Review the requested permissions and click Add.
4. Select whether to install the app for yourself, for a specific team, or across the organization (organization-wide installation requires Teams admin privileges).
5. Once authorized, the Kowiki app appears in your Teams sidebar and is available for use.

If your organization requires admin approval for third-party apps, submit an approval request from the Teams app store and notify your Teams administrator.

Features

Adding as a Tab in Channels

Pin your wiki — or specific wiki sections — as a tab in any Teams channel:

1. Navigate to the channel where you want to add the tab.
2. Click the + icon in the tab bar at the top of the channel.
3. Search for Kowiki in the app list and select it.
4. Choose whether to display the full wiki or a specific section.
5. Click Save to add the tab.

Team members can browse the wiki directly from the channel tab without switching apps. The tab updates automatically when wiki content changes.

Browsing the Wiki

Open the Kowiki app from the Teams sidebar or from a pinned channel tab. The interface displays your wiki's section structure. Navigate through sections, open pages, and read content in a formatted view within Teams.

Sharing Pages

Share wiki pages to any Teams conversation:

1. Find the page you want to share through browsing or search.
2. Click the Share button on the page.
3. Select the channel or chat where you want to share.

Shared pages appear as adaptive cards with the page title, a content excerpt, and a button to view the full page. Adaptive cards render natively in Teams, providing a rich and readable format.

AI Knowledge Agent

The AI Knowledge Agent is accessible through Teams chat:

• Chat with the Kowiki bot — Open a chat with the Kowiki app from your Teams sidebar. Type any question and the agent responds using your wiki as its knowledge source.
• Mention in channels — @mention Kowiki in a channel or group chat to ask a question. The agent replies in the same conversation thread.

The agent maintains conversation context within a thread, so you can ask follow-up questions without repeating background information.

Message Cards and Adaptive Cards

The Teams app uses Microsoft's adaptive card format for rich content display:

• Search results appear as a carousel of cards, each showing a page title and excerpt.
• Shared pages render with formatted text, headings, and a direct link.
• AI responses display with clear formatting, including bullet points and bold text for readability.

Adaptive cards are interactive — recipients can click through to the full page or trigger follow-up actions directly from the card.

Teams-Specific Behaviors

• Tab persistence — Pinned tabs remain in place even if the person who added them leaves the channel.
• Notifications — The Kowiki bot sends notifications through the Teams activity feed when configured.
• Mobile support — The Teams app works on Teams mobile, though the tab experience is optimized for desktop and tablet.
• Guest access — External guests in your Teams environment can access Kowiki content if your workspace permissions allow it.

Tips for Team Adoption

• Pin tabs in project channels — Add the relevant wiki section as a tab in each project or department channel so documentation is always one click away.
• Use the bot for onboarding — Encourage new team members to chat with the Kowiki bot to find answers during their first weeks.
• Share pages in meetings chat — Before or after meetings, share relevant wiki pages in the meeting chat for easy reference.
• Combine with the Web Wiki — Use Teams for day-to-day lookups and the Web Wiki for extended reading or sharing with people outside your Teams organization.
