AI-Generated Metadata
Kowiki uses AI to analyze every page in your knowledge base and generate metadata β summaries and tags β that make content easier to find, browse, and understand at a glance. This happens automatically so your team benefits from rich metadata without manual effort.
How AI metadata generation works
When a page is synced from a connected source or created natively, Kowiki's AI reads the full content and produces:
- Summary β A concise description (1-3 sentences) capturing what the page covers.
- Tags β A set of relevant keywords and topics that categorize the page.
This process runs automatically:
- On initial sync when a page is first imported.
- On subsequent syncs when the source document content changes.
- When you create or significantly edit a native page.
AI metadata generation typically completes within a few seconds of the sync finishing.
Viewing generated metadata
You can see the AI-generated metadata for any page:
- Open the page you want to inspect.
- Look below the page title for the summary text and tag pills.
- For the full metadata panel, click the β― menu and select View Metadata.
The metadata panel shows:
- The current summary (AI-generated or manually overridden).
- All assigned tags with their source labeled (AI or Manual).
- The date the metadata was last generated or updated.
How metadata improves your knowledge base
AI-generated metadata powers several features across Kowiki:
Better search results
Summaries and tags expand the vocabulary associated with each page. When a reader searches for a term that appears in the tags or summary β even if it does not appear in the page body β the page still surfaces in results.
Richer browsing experience
Summaries appear in page listings and search results, giving readers a preview of each page without opening it. This helps teams scan through content and find what they need faster.
AI knowledge agent answers
The AI knowledge agent uses page metadata to understand your knowledge base at a high level. Accurate summaries and tags help the agent retrieve the right pages when answering questions and provide more precise responses.
Tag-based filtering
Tags create a secondary organizational layer alongside sections. Readers can filter pages by tag to find related content that may span multiple sections.
Overriding AI-generated summaries
If the AI-generated summary does not capture the page well, you can replace it with your own.
- Open the page and click the β― menu.
- Select Edit Metadata.
- In the Summary field, clear the existing text and write your own description.
- Click Save.
Your manual summary persists across future syncs. Kowiki does not overwrite editor-provided metadata when the page content updates.
To revert to the AI-generated summary:
- Open Edit Metadata again.
- Click Regenerate Summary below the summary field.
- Confirm the regeneration. Your manual override is replaced with a fresh AI summary.
Managing tags
Viewing tags
Tags appear as labeled pills on the page and in the metadata panel. AI-generated tags are marked with an AI badge. Manually added tags show no badge.
Adding manual tags
- Open Edit Metadata from the page's β― menu.
- In the Tags section, type a new tag name and press Enter.
- Repeat for additional tags.
- Click Save.
Removing tags
- Open Edit Metadata.
- Click the Γ on any tag you want to remove β including AI-generated ones.
- Click Save.
Removed AI tags do not reappear on the next sync. Kowiki remembers your editorial decisions.
Regenerating tags
To start fresh with a new set of AI-generated tags:
- Open Edit Metadata.
- Click Regenerate Tags.
- Confirm the action. All existing tags (AI and manual) are replaced with a new AI-generated set.
Tips for working with AI metadata
- Review after large imports β Spot-check AI summaries when you connect a new source to ensure quality across your content.
- Add domain-specific tags manually β AI may miss internal jargon or project codenames. Adding these as manual tags improves search for your team.
- Use consistent tag naming β If you add manual tags, use consistent casing and terminology (e.g., always "onboarding" rather than mixing "Onboarding" and "new-hire-setup").
- Trust the defaults for most pages β AI-generated metadata is accurate for the majority of content. Focus your editing effort on high-traffic or high-importance pages.
